Why do I need a business phone system?
If you are a small business owner, you want to make the most of your investment. For a small business owner, every penny counts. You probably are wondering the following questions:
- What exactly are the differences between a home telephone system and a business telephone system?
- Can I use Google Voice, OOMA or magicJack device for my business?
- I don’t feel I need a business phone system. I can just use my cell phone.
The above are all true to some extent. If you just started your business, you probably want to use your cell phone for both personal and business just to save money. When you plan to grow your business, you will want to make your business sounds professional. When your vendor or your customer calls you, you don’t want to answer their calls using your cell phone. The caller will soon start to think you are a one-person or a tiny company. You will want to make your small business sound big. In this case, you need to add some business features to your phone system. These business features are not available on your cell phone, or on a home/residential VOIP service plan. To give some examples:
- Custom Greeting / Digital receptionist. “Thank you for calling ABC Printing Corp. If you know the extension of the person you want to reach, please dial it now. For sales, press 1. Accounting, press 2. Shipping press 3. To dial by name, press 4. Or to reach customer service, press 0.” You hear this greeting when you call a decent company. You can’t achieve this with a cell phone or a home phone service plan. Once the caller hears your message, it is your voice mail greeting. The caller won’t be transferred. Instead he has to leave a voicemail to hang up.
- Extension transfer. “Let me transfer you to the person who can help you further”. Then you are transferred to another person. You probably think the other person is in another cube or another room. This creates a bigger image of a company. Similarly you can’t achieve the transfer function with a cell phone or a home phone service.
- Music on hold. While you are on hold, you can hear some highlights of the company you are calling. You will not be able to put your caller on hold with your cell phone or home phone. You can however unprofessionally mute yourself.
- Not to mention other advanced features, like call queues. If you have only 1 service rep who answers the calls, and you expect multiple callers to call in at the same time, you want to put the callers in a queue. Their calls will be answered in the order they are received.
